Minutes of the EGM held on Friday 13th November 2010

*Voting in the new rep*

Alf of the HDRCGB Committee could not attend the EGM due to mechanical failure of his vehicle. Alf spoke to Mr P from the Sussex Coasters on the telephone to advise how the meeting should be chaired to elect a rep for the Anglia region

*Rep*

Tealess stood as rep, no other persons stood for the poisition
Tealess was voted in unanimously - no objections or abstentions

*Assistant reps nominated & elected:*

Nick - Peterborough area
Mile High - North of Peterborough area
Maff - Cambridge area
Kimbo - Lowestoft area

All agreed that we need as many assistant reps as necessary to help cover the whole Anglia region. All were voted in unanimously.

*Secretary / Treasurer

* Flossy stood and was voted in unanimously

The meeting was then handed to Tealess (rep)

*Points raised:
*
Tealess has said that he wants people to be allowed to act they way they want as long as it causes no offence to other members. If any member is not happy about a conduct of another member then to address the problem on a one to one basis with Tealess by phone or in person and he will discuss the offending issue with the person causing the offence.( tit tattling between members does not achieve anything, the only way for any issues is for it to brought out into the open as has been said above, you can't please all the people all the time, all we can do is try)

Buck pointed out that some members were not happy with the conduct of others as had been mentioned in prevous points on the forum, Tealess has advised that we are all aware that at rallies / social events that we all enjoy ourselves and like to have fun in their own ways. People who attend such rallies and events are all aware of how the other like to chill out and have fun, one such issue was mentioned when a former club member liked to expose himself without thinking of the other members who were at the same venue. Tealess advised that this member has now moved to Canada.

Tealess mentioned that at Skylark and Hunstanton no complaints were raised as far as he was aware, due to the fact that if any complaints were received they were not passed on to any indiviuals to may have caused any offenses, in fact there were people from Skylark wanted to know when we would be meeting up again as they had good fun in our company, and Hunstanton asked us to hold the keys and be in charge of the location overnight.

*Bringing the region together
*
Tealess has said it would be great to have as many meeting locations as possible throughout the region. This would hopefuly bring in more people who might look to join the club. All that was asked is that if places are set up that some minutes be taken and passed to Baff who will be able to send a copy of the minutes to all club members so we are all aware of any local events that people might wish to attend.

Kimbo, now acting as assistant rep for the Lowestoft area, stated that he joined the club 18 months ago and has had a brilliant time and wants to get on with the job of getting back to having a great time and meeting more new people of a like minded nature. (Having a Harley being one of them). He will do his best in his area.

As we are aware not everyone goes on the HDH forum so Baff, being the area communications person, will ensure that emails/texts are sent to everyone who has said that this is how they'd like to be informed of events, etc. BUT it takes club members to either phone, text, email, or raise at meetings what events they would like to go to, or what ride outs they would like to see arranged, then he can pass this information to all.

*Anglia AGM 2010*

It was going to be Saturday 13th March, however as it is know known that this will be the day of the National AGM it was agreed that it will be the week before on *Saturday 6th March. 12 noon*, we will have a buffet, £6.00 per head, members will only have to pay half as the club funds will pay the rest. A camp over is agreed at the Plough, disco will be arranged free of charge to the club members, breakfast for £5.00 a head for those wishing to stop over supplied by the Plough. Please bring club cards in order to be able to vote.

As previously agreed, two regional meetings in 2010 for the whole region will be at Attleborough, on a Saturday, dates to be confirmed. Camping will be available.

*2010 Trips/Rallies*

23rd - 25th April, Talgarth, Wales
27th - 29th May, Wallace Rally, Stirling, Scotland
1st - 4th July, Irish Rally, Waterford, Ireland
8th - 11th July, National/Lakes Rally - It's been proposed that we run a hog roast/ chill-out tent, Eric has all the cerificates required for doing this.
Half of the profits would go to our charity and half to the club funds, more to be discussed with the Committee nearer the time.
29th July - 1st August, Leopoldsburg, Belgium. £30 per person deposit to go to Richard (this is non refundable).

*Charity Money*

Tony (Realbark) suggested we raise money for a different charity next year. Suggestions will be put forward and voted on at the AGM in March.

*Xmas Meal*

Friday 11th December at The Plough. There'll be no regular meeting at the Plough this month. Deposit of £5.00 per person have been paid. The total price is £16 per head, the remainder to be paid on the night. Food served at 8pm. A disco will be provided, if you do not want to come for the meal you are still welcome to come at about 9.30 for the disco and a few drinks (no charge for coming in after the meal for the disco and dance). No fancy dress just smart casual.

Anyone who wishes to stay over please let Tealess/Flossy know, then places can be arranged. Carol and Nick, Richard and Debbie and Tealess and Flossy have said they're happy to provide sleeping spaces.

Baff will be sending out in a separate email the Christmas Menu. Some have already chosen what they want the rest will need to let Flossy know their choices by Saturday 28th November.

Looking forward to seeing those of you who can make it.

Leopoldsburg Dates 30/07/10 - 01/08/10

The dates for next year's Leopoldsburg weekend are finally coming up online (link here (http://www.h-dctwente.nl/index.php?option=com_events&task=view_detail&agid=349&year=2010&month=07&day=30&Itemid=19)).

The rally starts Friday 30th July and goes on until Sunday 1st August.

We'll probably take a Thursday ferry from either Harwich and/or Calais, depending on who wants to put some miles in on the way. This'll allow us to get all three days in Leopoldsburg.

I'll start a new thread soon, updating names of those going (well, those who've paid a deposit of £30 per person anyway), dates for those going for the weekend or the week (29th or 30th July - Saturday 7th probably), prices of ferries, etc.

Prices for the B&B are on this thread (http://www.harley-davidson-hangout.com/forum/hdrcgb-anglia/76895-leopoldsburg-july-2010-prices.html). Contact me if you want to come, or have any questions you need answering before the ferry details get posted.

Cheers

Probably going to catch a ferry out of Pembroke on the Thursday, after a non-motorway blat across country, but all details to be confirmed in the next few months. (Edit 02/11/09) Irish Ferries have confirmed a price of £40 per bike, return, leaving Thursday 1st, returning Sunday 4th. Haven't got times for the ferries yet though.

Knowing Eric, we may end up in Spain instead, but hey, wtf, it'll be fun. :D

I've been asked by Richard, he of the Harley Cafe, to post the following, as he has fat fingers, too large to use on a keyboard.

Any other Rider's Club rally notwithstanding, Uppingham HOG (whatever they're actually called) are holding their Horseshoe Rally at the Plough at Farcet Fen (you KNOW you know the one I mean) on 4th-6th July next year.

They've extended a welcome to us if anyone wants to camp over, or I suppose attend daily (it IS a hoggie rally, isn't it? LOL).

Bands, food, beer, etc., etc. More details to follow, but I'm damned if I'm gonna put a map up for you guys.

*For some reason, I've got a feeling it may be the same weekend as the oft-mentioned, though hitherto unconfirmed, trip to a rally in Ireland (http://www.harley-davidson-hangout.com/forum/hdrcgb-anglia/76903-federation-rally-ireland-july-3rd-6th.html#post724562). <---NOW CONFIRMED!

Leopoldsburg July 2010 - Prices

'Lo all.

We still don't know the dates of Leopoldsberg, but I've had confirmation of prices for the B&B from Henri & Marga.

The intention now is to go for the weekend of the rally first, then (for those staying the whole week) use the B&B as a base afterwards.

A lot of people are coming for the weekend, less for the whole week. I think six of us are planning on the week so far. You don't have to decide which you want to do yet. This will only be necessary after we've got confirmed dates.

(All prices include breakfast, and all *£ prices are approx*., depending on euro rate at the time, but based upon £1 - Euro 1.10)

One week rental of one apartment for four persons works out to £185 per person per week (based on 4 in an apartment)

One extra person cost £105 per week

Maximum 6 persons per apartment. = £155 per person

So the cost per person will be between £155 & £185, depending on how many finally go.

The weekend only rate will probably be slightly higher, but not a lot.

Ferry prices still to be organised.

I'm still taking non-refundable deposits of £30 per person (well, Richard is actually taking them cos I hate handling money) but places are going fast. I think we've already got 16+ booked.

There's also some rooms in the main house available, but I think these will be slightly more expensive, but still excellent value.

Cheers
