AGM Wednesday 6th May 2009

AH opened the meeting with thanks to all in attendance.

Minutes of Previous Meeting
Minutes of previous meeting held Wednesday January 30th 2008 were circulated and approved with no amendments required.

Matters Arising

Change of Region Name:
The recent change of name from ‘SOUTH and WEST MIDLANDS’ to ‘CENTRAL MERCIA’ was confirmed by the main H-DRCGB Committee at their meeting on 14th March 2009. The change of name has been very well received and welcomed by Region 9 Members.

New Region Badge:
A number of ideas and designs had been submitted by RT (Tee) to the forum for consideration and feedback, these were circulated at the meeting for further perusal and discussion. Following a majority vote it was decided that the new badge would be as per attachment shown below featuring the Leofric Eagle on a background of the Mercia Flag:

Discussion followed regarding the final design and sourcing of region Tee-shirts etc. with
RT (Tee) agreeing to organise as necessary.
Action: Ongoing (Tee)

Region 9 Report:
SR reported that we have a total of £113.85 to date in the bank for our Region.

Election of Committee for 2009

Current Committee:
• Region 9 Representative: AH (ALAN FXRT)
• Assistant Representative: PD (COVKID)
• Treasurer: Sylvia R
• Secretary: Vacant

All currently serving members confirmed their willingness to stay on in their current positions, this was well received by those in attendance with no other nominees proposed.

Discussion followed regarding the position of Secretary, with PD nominating JJ (Muddypaws) for the post. This was seconded by AH.

Correspondence:
AH confirmed that the H-DRCGB Committee had donated 2 tickets for the forthcoming ‘60th Anniversary Rally’ taking place between August 28th – 31st 2009 at Walesby Forest, Walesby, Newark, Notts. It was proposed that these be raffled with an entry fee of £2 per ticket between those members present at the AGM with the monies raised going towards Region 9 funds. This was agreed, with the winning ticket going to PC (CREW59).

Any Other Business:

Region 9 Rally 2009

This years rally will take place from Friday 25th – Sunday 27th September 2009 at Jims Barn, Ashby Road, Boundary, Ashby De La Zouch, DE11 7BB

AH stated that the live Band for Saturday night is yet to be confirmed, however
there were a number of possibilities open subject to their availability and the final cost. AH also stated that any other suggestions were most welcome if anyone knew of other Bands that may be available at a reasonable cost.
Action: Ongoing (AH)

SR confirmed that all other arrangements were in place (Disco/Toilets/Catering etc.) and that we would receive a £300 Rally loan from the Main Committee to assist in funding.

Raffle Prize donations were requested by SR, please could all Region 9 Members make an effort to support the Raffle and donate prizes where possible.

Member List – Region 9
PC/PD suggested we start a record of Member names and contact numbers which could be distributed to all Region 9 Members. This was agreed and commenced with immediate effect. JJ (Muddypaws) will be responsible for managing /updating the information and distributing the list as required.

Region 9 Map

JJ suggested that we publish a more detailed map of the area encompassed by Region 9 to assist and encourage potential new members to join both the club and the region where appropriate, currently the main H-DRCGB site map is barely readable and involves a lot of work for a potential newbie to identify the Geography of the regions and make a decision as to which ones to approach.
Action: AH & JJ to progress

Next Monthly Meeting:

AH confirmed that the next monthly meeting will take place on Wednesday 13th May 2009 at the Royal Oak, Station Road, Brandon, Coventry. CV8 3HR and then every 2nd Wednesday of each month following.
