    R29 AGM Minutes

    H-DRCGB Region 29 AGM
    Sunday 9th February 2020 6pm
    Wingfield Arms, Montford Bridge, SY4 1EB
    Apologies: Pete Gallier, Russell Doughty, Paul Anderson, Anne Marie Jones, Ronnie Hill

    1.0One minute’s silence.
    Held in memory of fallen members.
    2.0 purpose of the AGM
    Glyn Pearson (GP) outlined that the AGM is a requirement, must be held within each 15 month period, Rep and other positions be elected and minutes shared with the national club. Without this the region would become dormant and not covered by the national insurance for example and have vote on national meetings.
    3.0 Review of Previous Year
    Region Rep: Al Lloyd provided an overview of 2019 – a successful year with the region reaching 208 members, making it the largest by far in the Club. Numbers have dropped to 190 at the point of the renewals, which often happens. He reminded us of the merchandise available and that Tiddly camping tickets were the next big item for the region – more on this later.
    Treasurer: Ruth Lloyd provided the full Treasurer’s report to the meeting. It was busy year, with lots of spending. Most of the income we have is from merchandise, ticket sales and the profit from the International we held in 2018.
    We spent just over £6000, which includes this year’s and last year’s Christmas parties; Ludlow party; the R29 Gazebo and tea urns; Andy Jones donation; and charity donations; plus buying the merchandise.
    (Note: The Ludlow Party band played for free – the costs were the venue hire, the sound engineer and the hog roast)
    We still have a healthy balance of £7,500 as long as we don’t spend like we have in 2019 and must keep a sizable reserve to fund the 2022 International costs upfront.
    NWW Coast Asst. Rep: Andy Sutherland outlined the developments in the new area of the region – North West Wales Coast. This was developed as Anglesey and North West Wales Coast have too far to travel to attend other meets in the region. Following 2 successful meets at Trawsfynydd, Andy settled on The Bryn Arms, Gellilydan, Trawsfynydd. They welcomes bikers, it has good parking, outside seating and a great Sunday lunch. This has now become a fixed meet for us – 2nd Sunday of the month, 12.30 for Sunday lunch, with the option of a small ride out.
    Mid Wales Asst. Rep: Bob Everrit talked about the informal ride outs that took place throughout 2018 – he has organised short and long tours of the region many weekends which were posted on the Facebook site.
    Shropshire Asst. Rep: Neal Benting told us about the Tiddly Camping Weekend last year which is a regular fixture for the region. At £10 a ticket, he needed 60 sales to cover the costs of the bands, which he achieved, selling 63 tickets. This event has always covered its own costs. It would be nice to get more sales this year, but big or small, those that attend always have a great time. It doesn’t have the facilities of larger rallies but has the basics – toilets, wash facilities, food and drink on site and good bands. The appearance of the ‘musical’ chickens is a bonus!
    North Wales Asst. Rep: Colin Turnbull reminded us about the ‘Mold’ meet which has taken place throughout 2019 on the 3rd Sunday of each month at Swan Inn, Swan Ln, Gwernymynydd, Mold. There are regular attenders here although the numbers are not huge.
    Secretary: Trish Fanthorpe and Glyn Pearson Joint outlined the developments in 2019 – supporting members to organise and run events, setting up the bi-monthly newsletter, writing the ‘quin submission, obtaining the R29 awning and generally trying to keep everyone involved and up to date using Facebook, Region 29’s own website, the national club’s website where we have our own section and emails for those not on-line.
    The region has had 35 new members this year and lost 31, making the current total 190. The majority of those that haven’t renewed were due to family or work commitments, moving, no longer having a bike.
    4.0 Election of Committee
    All current Committee members were stood down.
    Nominations were made, uncontested and candidates were duly elected. Details below.

    5. Plans for 2020
    5.1 Upcoming events and plans were shared and discussed, month by month. These are the ones we, as a region are likely to be supporting as a group. Details, reminders and plans to travel together will be posted nearer the time.

    March 14th: Club AGM 14th Market Harborough. Al Lloyd advised us that Trish would have his Rep vote if it was needed as he is not able to attend. Discussion was held about the H-DRCGB membership of the H-D Federation. The view to leave the Fed by some of the national committee due to the costs incurred by the club was outlined. The consensus of the meeting was to remain in the Fed and that the costs were a reasonable use of membership fees. If the issue is to be raised again at club level we will notify R29 members.
    April 24-26th: Region 7 Drovers Rally at Llandovery. A regular start to the rally season for R29 members.
    May 8-10th: Region 12 Riverside/south West Rally in North Devon. We attended for the first time in 2019 and it was great to go south for a change and we were made very welcome – so we are going again this year.
    June 5-7th: The Tiddly Camping Weekend at Ellerdine Heath. Neal Benting informed us that this year the bands have a road theme. Friday night “Eternity Road” will be entertaining us - a busy local band, the guitarist has been a friend of Neal’s for nearly 40 years and they are really looking forward to it. Saturday night “End of the Road” with our own region member, Dave Wainwright on drums will be rocking the night away. The after-band acoustic set is always a great event made up of our club multi ‘instruMENTALists’. The Saturday ride out in memory of Andy Jones will be to Dom’s Bike Café, Ludlow - a place Andy like to go. Tickets £10 available through any committee member or PayPal – food and drink available on site and the price includes 2 nights camping. Profits go to charity.
    June 19-21st. Summer Solstice Bunkhouse at Bala. Our own members Jane and Guy Williams told us they are having a weekend of music, partying, alcohol and BBQs and their idyllic residence. Bunkhouse accommodation for up to 22 people, plus camping in the field. Details, including price to be decided upon.
    June 25-25th. The H-DRCGB International Rally, Baskerville Arms, near Hay on Wye. If you only do one rally this year, this is the one to do, with a great location, vendors, music and food and rideouts.
    July 3-5th. Region 4 The Lakes Rally, Kirkby Lonsdale. Another regular for our region, we usually have a meal out together; we can camp or book B&Bs in the historic town.
    August 1-2nd. LlanBike Fest, Llangollen. This motorcycle festival is in support of the Air Ambulance and attended by thousands of enthusiasts and has trade stands, manufacturers, exhibitions and competitions. We host the national H-DRCGB stand, show our own bikes, get free entry and generally have a great time!
    August 7-9th. R29 Anglesey Camping Weekend/Beer and Gin Festival, Y Ring, Rhosgoch, Anglesey. Steve Hewitt told us that some of our North Wales members are organising this event based in a rural pub with camping. With bands on throughout the weekend including Sunday, food on site, including breakfast and a rideout around the island, it’s going to be a good one. Steve Hewitt is also looking at getting access to the Anglesey Circuit. This will be a ticketed event, priced at £15 for the weekend.
    September 4-7th. Northern France Long Weekend. Les Ballastières, Gauchin-Verloingt, France. Bob Everitt is organising a new one for us – a few members have been there previously and really enjoyed it. The owners are H-DRCGB members and provide B&B and indoor camping, breakfast and BBQs and cheap beer on site. Details will be posted shortly and booking needs to be confirmed with a deposit.
    September 18-20th. ‘t Centrum, Netherlands. The region has supported this federation rally for several years, with rideouts to Gouda and Delph.
    October 24th. End of Season Party, Ludlow Brewery. The ‘Ludlow lads’ led by Chris Alker are organising this party for the second year. The price was discounted last year but may need to increase this year to cover cost.
    Many more events are available for you to attend – if you post them on Facebook others may want to attend with you.

    5.2 Ideas from members.

    July 17-19th H-DC Wales, Usk. Adam Hill suggested we could support this national federation rally in south Wales
    July 17-19th. The Wrecking Crew H-DC, Ruthin. Colin Turnbull highlighted this federation rally, also within our area. It is the same date as the H-DC Wales however.

    5.3 General Discussion and Feedback
    Glyn Pearson presented some ideas for the coming year and beyond – to use technology better to improve communication and involvement, which we trialled with the live webcast at this AGM; developing a region calendar with all the key dates included; and having a nominated charity. Group discussion provided a long list of charities to be considered:
    Blood Bikes, Gobowen Children’s hospital, Air Ambulance, Hope House, Children’s Hospice.
    Action: A short list will be put to the members.

    Tich Craddock suggested the AGM could be earlier in the day, and on a Saturday so members could enjoy a drink afterwards.
    Action: to be considered by the committee.

    Jon Fanthorpe was asked to report on the live webcast on the region Facebook page – positive comments were received and up to 14 people watching.
    With no further business, Al Lloyd thanked everyone for attending and closed the meeting.
